Ottex
Mac, iOSBest when: You want one tool for system-wide dictation, meeting recording, and finished written outcomes like follow-up emails, Linear tickets, CRM updates, PRDs, and docs
Willow Voice is a strong system-wide dictation app, but it does not cover meetings, file transcription, Android, or a real free workflow. Start with the reason you are switching, then use the fact tables to check the tradeoffs.
Each section opens with the takeaway. The table underneath is the receipt — every cell carries its source and the date we checked it.
Willow Voice's free plan is a teaser: 2,000 words per week is about 15 minutes of dictation, and Individual is $15/month or $144/year. Ottex is the strongest pricing surprise because it offers free local use, BYOK, PAYG at $0.20/hour, and $14/month Pro. VoiceInk and Vowen are the cleanest subscription escapes for dictation buyers, at $25-$49 one-time and $49 one-time respectively.

Wispr Flow has the broadest mainstream dictation coverage with Mac, Windows, iOS, and Android. Dictation Daddy also covers Mac, Windows, Android, and Chrome, which matters if browser-based input is part of the workflow.

Willow Voice is not a meeting recorder: no bot-free capture, system audio, speaker identification, summaries, or action items. Granola is the strongest pure meeting-notes option with bot-free capture and team memory, while Hedy adds live meeting coaching across Mac, Windows, iOS, Android, and web. Ottex and Vowen are the more relevant picks when the buyer still needs core dictation plus meeting capture.

The meeting split is notes versus finished work. Granola and Otter.ai are stronger when a team wants searchable meeting memory, shared notes, and broad collaboration workflows; Otter.ai also brings CRM and workflow integrations. Ottex wins when the point of the meeting is the next written output, such as a follow-up email, CRM update, ticket, PRD, or project note.

Willow Voice is credible for cloud dictation with 100+ languages, custom vocabulary, style cleanup, and mixed-language switching, but it lacks BYOK and file transcription. Spokenly, Ottex, VoiceInk, FluidVoice, MacWhisper, QuickWhisper, and Vowen all bring local or BYOK paths in different shapes. Aqua Voice and Wispr Flow are polished cloud dictation tools, but they are not privacy-first or meeting-capable.

Ottex is unusually broad for a young Mac/iOS-first tool: it turns dictation and meetings into emails, tickets, CRM updates, notes, and docs, but it is not the pick if you need Windows, Android, web, browser extension, or compliance paperwork.

The honest one-liner we'd give a friend for each. Select 2–4 and compare them side by side.
Best when: You want one tool for system-wide dictation, meeting recording, and finished written outcomes like follow-up emails, Linear tickets, CRM updates, PRDs, and docs

Best when: You want system-wide dictation that inserts text into whatever field your cursor is in.

Best when: You want native macOS dictation on Apple Silicon with local models that can run offline.

Best when: You want system-wide push-to-talk dictation on macOS, iOS, or Windows, with text inserted directly into the active app.
Best when: You want bot-free meeting capture that records from your mic and computer audio without joining calls.

Best when: You want system-wide voice dictation across Mac, Windows, iPhone, and Android.
Best when: You want one-key dictation into whatever app already has your cursor.

Best when: You want fast, system-wide voice dictation across Mac, Windows, or iOS for everyday writing.
Nothing breaks: both apps can run side by side while you decide.
Free out of the box: local models or the included starter credits, no card. Press the hotkey and speak — the default experience is deliberately close to Willow Voice. Keep Willow Voice installed; they coexist fine.
Set Ottex to the key you already press by muscle memory, or give it its own shortcut while you compare output side by side.
If Willow Voice keeps a custom dictionary or replacement rules, copy those words into Ottex's personal dictionary and glossaries — names and jargon survive the move.
Defaults just work on starter credits. When you care, switch per task: local Whisper or Parakeet v3 for on-device privacy, your own key for control, or hosted routing at cost.
Set exact text for AI chats, polished email, structured tickets. Then record one low-stakes call and check the follow-up, CRM update, and ticket drafts.
Willow Voice is a system-wide AI dictation app that inserts cleaned-up spoken text into active text fields. It fits people who want faster writing across Mac, Windows, and iPhone, not people looking for meeting notes or file transcription.
Willow Voice has a free tier with 2,000 words per week and no credit card required. At roughly 130 words per minute, that is about 15 minutes of dictation a week, so it is a trial-sized cap rather than a real long-term free plan.
Willow Voice Individual is listed at $15/month or $144/year, and Team is $12/user/month with a 3-seat minimum. Cheaper alternatives include VoiceInk at $25-$49 one-time, Vowen at $49 one-time, and Ottex with free local use or PAYG at $0.20/hour.
Willow Voice has a Windows app, plus Mac and iPhone support. Android is only listed as coming soon, so Wispr Flow or Dictation Daddy are better choices if Android support matters today.
Willow Voice publishes HIPAA and SOC 2 claims, has Private Mode, and says Enterprise can enforce zero data retention. Its main dictation still uses cloud-based AI models, so Spokenly, VoiceInk, MacWhisper, or QuickWhisper are stronger if local processing or BYOK is the reason you are switching.
Spokenly is the best free dictation alternative if you want unlimited local dictation and BYOK options. Ottex is the better free path if you are on Mac and also want local dictation, file transcription, and meetings instead of only voice-to-text.
